REQUEST FOR BIDS

Mexico School District #59 is accepting fuel bids (fuel must meet FHA Regulations) for the 2022-2023 school year.  The price quoted should be effective from September 1, 2022 through August 31, 2023.

Supplier shall furnish a minimum:

  1. Diesel -  750 gallon capacity self-contained tank with electric meter pump;

  2. Gasoline (87%) - 500 gallon capacity self-contained tank with electric pump. 

Supplier shall make delivery within one day after request is made.  Mexico School District #59 is exempt from State Sales and Federal Excise Taxes.  The district requires copies of Material Safety Data Sheets that comply with OSHA’s standards for all products.

Please quote two separate ways:

1)       Fixed One Year Contract.

2)       Daily Market

The Board reserves the right to reject any or all bids and accept that bid which appears to be in the best interest of the school district.  The Board reserves the right to waive any informality in any bid, or to reject any or all bids, or any part of any bid.  Any bid may be withdrawn prior to the scheduled time for the opening of bids.  Any bid received after the time and date specified shall not be considered.

The Board of Education approves payment of bills at its regularly scheduled meeting held on the third Tuesday of each month.  Penalties imposed by successful bidders for payments required before such time will not be paid.

All proposals received become part of the District’s file.

It is the policy of the Mexico School District in making purchases to give preference to and encourage the purchase of all commodities manufactured, mined, produced or grown with the municipality, county, and state, and to all firms, corporations or individuals doing business at Missouri firms, corporations, or individuals, when quality and price are approximately the same.  It is further the policy of the school district to encourage the purchase of products manufactured, assembled or produced in the United States.

The District shall have the right to enter into negotiations in an effort to reduce the amount of the bid with the lowest responsible bidder should the lowest responsible bidder’s bid exceed the funds available.

The Board of Education of Mexico School District is seeking information for maintenance and repair of parking areas. To request the specifications related to this project, please contact Curt Jackson at (573) 581-3773 ext. 2424 or [email protected].

Companies are to submit Two (2) originals of their response to the RFP.  Proposals shall be delivered in sealed envelopes clearly marked as indicated below.

We intend to review the bids at the Board of Education meeting on July 19, 2022.

All proposals received become part of the district’s file. The district will select the lowest or best bid. The district reserves the right to waive minor technical defects in a bid, reject any and all bids, reject any part of a bid, advertise for new bids, or make the purchase on the open market if the product or service can be obtained at a better price.

Sealed bids and related documents will be kept confidential until bids are opened. District staff will not disclose offers, bids or price quotations to competitors except as necessary to conduct negotiations beneficial to the district or as required by law. All contract negotiations and related documents are considered closed until a contract is executed or all proposals are rejected. Late bids will not be considered and will be returned unopened to the bidder.
